Getting started
Why don’t I see Products, Price Books, or Quotes in the navigation?
An administrator has to turn the feature on under System Settings > Product, Price Book, and Quotation. See Enabling the feature.
Which plans include Quotes?
Quotes and Quote PDFs are Enterprise only. Merge documents for other record types are available on any plan. See Plan availability.
Is there a standard price book?
Yes. Insightly includes a Standard Price Book by default, and new Products are added to it automatically.
Can I import products and price books?
Yes. Enable the feature first, and include a Standard Price field in the file to set what you charge. See Importing Products, Price Books & Quotes.
Pricing and discounts
Does Insightly support multi-currency?
Each Price Book holds a single currency, and different Price Books can use different currencies, so you can quote in more than one currency across price books. The currency on an existing Price Book can be changed later, and existing prices keep their numeric values rather than converting.
How do I apply a discount?
On the Quote Product line itself; there is no separate discount screen. Discount is a percentage applied to the line’s Total Price, and Sale Price stays as entered. See Applying a discount.
Can I change a product’s price on one quote without changing the price book?
Yes. Edit the Sale Price on the quote line; the price book entry is unaffected. See Adding Products to a Quote.
Can I set up an approvals process for quotes with steep discounts?
Approval Processes, available on the Enterprise plan, provide record approvals like this. See Approval Processes. To block steep discounts outright, use a validation rule instead. See Limiting discounts with a validation rule.
How is taxation calculated?
It isn’t calculated automatically. Tax is a raw number field you enter manually, and that value rolls into the Grand Total field. If left empty, it’s treated as 0.
Do Quote quantity fields support fractional quantities?
Yes, quantity fields accept fractional (decimal) values.
Quotes and opportunities
How is opportunity value calculated?
When Products or a synced Quote are linked to an Opportunity, the Opportunity Value is calculated from those line items rather than entered by hand. That value feeds the Expected Revenue field used in reports.
Why can’t I edit the Opportunity Value?
Because Products are attached, or a Quote is synced. The value is calculated from them; to edit it by hand you would have to remove the Products first. See Adding Products to a Quote.
What does syncing a quote to an opportunity do?
The two records update each other: add products to either and the other’s value follows. An opportunity can carry several quotes but sync with only one at a time. See Quote sync.
Can I clone a Quote?
Yes, from the Opportunity or from the Quote record. The clone starts with every field from the original, including custom fields. See How to Clone a Quote.
Can I clone a Price Book?
Yes. See Cloning a Price Book.
Documents and signing
Can I add my company logo to my Quotes?
Yes. Create your own quote template in a word processor, add the logo, upload it to Insightly, and assign it to your quotes. See Quotes: documents & templates.
Can quotes be digitally signed?
Yes, through the DocuSign integration, which sends quote PDFs out for signature. See DocuSign Native Integration.
Can I create a Quote on the Insightly mobile app?
Yes. See the Insightly CRM Mobile App guide for details.
Managing products and price books
Can I make a product inactive?
Yes. Mark the product inactive to retire it without deleting it, which keeps its history on past quotes and opportunities.
Can I delete or archive products?
A product referenced on existing records cannot be deleted; mark it inactive instead to retire it while keeping history. Products not yet referenced can be deleted outright.
Can I delete a Price Book?
Not once it is associated with a Quote or an Opportunity. It can still be edited. See Constraints worth knowing before you start.
Can I report on quotes, or reach them through the API?
Yes to both. See Reporting & API for Products, Price Books & Quotes.
