Importing Products, Price Books & Quotes

Products, Price Books, Price Book Entries, Quotes, and Quote Products can all be imported. The procedure is the same for each; only the starting object and one checkbox differ.

Before you import

An administrator has to enable Products, Price Books, and Quotes first.

All standard and custom field types can be used.

To import what you charge for a Product, include a Standard Price field in the file.

A few constraints carry over from how the objects work:

• One currency per Price Book.
• Price Books can be edited but not deleted once associated with a Quote or an Opportunity.
• Products can be edited but not deleted once associated with an Opportunity or a Quote.
• Where a Quote is synced with an Opportunity, fields matching on both name and data type sync automatically.

The import procedure

1. Open the object listed in the table below.
2. Click the import link in the sidebar. If the sidebar is hidden, click the Show Sidebar icon.
3. Click Select File, choose the file, and click Next.
4. Choose an import action:
   • Add New Records. Adds new records and skips anything Insightly recognizes as a duplicate.
   • Update Existing Records. Updates records matching the Record ID field in your file, and skips everything else.
   • Add New Records and Update Existing Records. Updates records matching Record ID, skips duplicates, and adds the rest.
5. Select a Field Delimiter: Auto-Detect, Comma, Semicolon, or Tab.
6. Uncheck Skip the first row when importing if your file has no header row.
7. Check Trigger Workflow Automations if the import should fire applicable workflow actions. Available on Products, Price Books, and Quotes only. Price Book Entries, Quote Products, and Opportunity Products are not eligible for workflow automation.
8. Check Send Notifications if record change notifications should go out. They are off by default.
9. Click Next.
10. Insightly displays three columns, Insightly Field, Column Name, and Your Data. Select or verify the Insightly Field for each column in your file.
11. Click Start This Import.
