Short answers about viewing records and working with list views.
Records
How do I open a record without leaving the list?
Click the record name and it opens in a side panel (the blade view). Click the record’s icon instead to open the full page. See What is Insightly CRM?, Viewing a record.
How can I check when a record was last updated?
Create a List View and add the Date Updated column. This is the record’s own timestamp, as distinct from Date of Last Activity, which reflects linked tasks and emails. See List Views and Next Activity and Last Activity dates.
How do I see who changed a field, and when?
Open the record’s Related tab and scroll to Field History. The grid has to be on the object’s Page Layout to appear. See How to Use Field History Tracking.
Where is a record’s ID number?
It is always in the record’s URL. An administrator can also show it as a field on the record from System Settings > Record ID. See Accessing an item using a unique ID number.
How do I change who owns a record?
From the record itself, or in bulk from a list view with Change Record Owner. See How to change a record owner.
Where are a record’s files?
On the Related tab, under Files. See Files & Attachments.
How do I print a record?
Click Actions on the record and select Print. See How to print a record.
How do I get notified when a record changes?
Click Follow at the top of the record. Which changes email you is set under User Settings > Notifications.
Why can’t I see a record a colleague created?
Under Advanced Permissions, what you can see depends on your role, your profile, and the record’s sharing settings. See Advanced Permissions Guide, Troubleshooting record access.
Can I hide empty fields on a record?
Yes. Use the gear icon in the record’s Details section to hide fields that have no value. See Page Layouts.
List views
How do I add a column to my list view?
You cannot add a column to the standard list view; create a custom list view and choose its columns there. See List Views.
How do I sort a list?
Click a column header. One click sorts ascending, a second click descending. See Sorting.
What is the kanban view?
A card-based view of Projects, Opportunities, or Leads, with records as movable cards under each pipeline stage. See Kanban view.
Can I share a list view with my team?
Yes. Views can be shared with the whole account, a specific role, or kept private. See Creating a List View and, on Advanced Permissions accounts, Sharing List Views and Dashboards by role.
