Building
How do I create a dashboard?
Create the dashboard first, then create cards and add them to it. Cards can be cloned, shared, filtered, and viewed on their own. See Creating.
Which objects can be used to create Dashboard Cards?
Contacts, Events, Leads, Organizations, Phone Calls, Price Books, Products, Projects, Quote Line Items, Tasks, and Custom Objects.
Do dashboards work well with custom fields?
Yes. Dashboards can access data from all of your fields, including custom fields.
Which chart type should I use?
Start from the question the card answers, not the chart you like. See Choosing the Right Chart.
Where can I find examples of Dashboard Cards?
See Dashboard Card Examples, and Insightly’s standard dashboards for the Opportunities, Projects, and Leads dashboards that come with the product.
What is a drill path?
A link from one card to another so you can drill through a data set, with the filter for the point you clicked applied automatically. See Drill paths.
Can I clone a card or a whole dashboard?
Yes. When cloning a card that has drill path cards below it, you choose whether to clone the whole path. Cloning a dashboard clones all its drill path cards. See Drill paths.
Can QuickBooks data drive Insightly Dashboards?
No. Dashboards display Insightly data only, even where QuickBooks data syncs into records elsewhere.
Sharing and limits
How many Dashboard Cards can I add / create?
The Plus plan does not include dashboard cards. Professional accounts can have up to 100 shared dashboard cards in total across the account, drill down cards included; Enterprise accounts have no limit. Cards kept private do not count toward the total. See Plan limits.
Can Dashboards be customized for each user?
Yes. Each user can set their own layout, card count, and card sizes. They can also clone and add dashboards and cards that other users have created.
How do I share a dashboard with a team or role?
Dashboards can be shared with yourself only, the whole account, or a specific role. Sharing with a role includes every subordinate role, and needs Advanced Permissions. See Sharing List Views and Dashboards by role.
Can I set a default dashboard for a team?
In a Custom App, yes: the app’s Home Dashboard setting chooses which shared dashboard opens on its home page. See Custom Apps Guide.
Day to day
How often does a dashboard refresh?
It refreshes when opened. Auto-Refresh Dashboard, in the dashboard’s Actions menu, refreshes it every 60 minutes while open; it is off by default. See Organizing.
Can I export or email a dashboard?
Administrators can use Schedule Email Export in the dashboard’s Actions menu to export and email it on a schedule. See Organizing.
How do I stop people moving cards around?
Lock Card Positions in the dashboard’s Actions menu. See Organizing.
Why can’t I find our active users in the “user responsible” dropdown when editing a card?
The filters within a card only show options based on values selected from current records, so users without matching records won’t appear. This differs from reports and list views, where you can filter by all values for a field.
Can I use dashboards on the mobile app?
Yes, to view. Every dashboard and card available on the web is viewable on mobile, but cards cannot be edited or created there. See Insightly CRM Mobile App.
