Custom Objects & Apps: FAQ
Questions that come up before, or instead of, reading the Custom Objects Guide. Each answer gives the short version and names the page with the full procedure.
Setting up
How do I create a custom object?
Go to System Settings > Objects and Fields, click New Custom Object, fill in the labels, choose the record name field type, check Deployed, and click Save Custom Object. Create a Page Layout for it before anyone uses it. Full steps with screenshots: Custom Objects Guide, Creating.
Which plans include custom objects and custom apps?
Custom Objects are available on the Professional and Enterprise plans. Custom Apps are available on the Enterprise plan.
How many custom objects and custom fields can I have?
Professional allows 25 custom objects and Enterprise allows 200. Each custom object can hold 100 custom fields on Professional and 500 on Enterprise. Full table: Managing your subscription & billing, Plan limits.
Should the record name be a text field or an Auto Number?
Text when people refer to the records by name, such as a property or a contract. Auto Number when nobody needs to name them, such as inspections or invoices. See Best Practices by Industry for worked examples.
Can I change the record name field type after saving the object?
No. The choice is permanent once the object is saved. To change it you would have to create a new object.
How do I rename a custom object?
Go to System Settings > Objects and Fields, open the three-dot menu beside the object, and edit its labels. See Custom Objects Guide, Editing and deleting.
Using it
Why doesn't my custom object appear in the left navigation?
Either Show in Sidebar is unchecked or the object is not marked Deployed. Edit the object from System Settings > Objects and Fields and check both.
Why can't users see the fields I added to it?
A field only shows on a record once it is on that object's Page Layout. See Page Layouts.
How do I link a custom object record to a contact, organization, or other record?
Add a custom field of type Lookup Relationship on the custom object and point it at the target object. The link is one-way. See Linking & Relationships, Lookup relationship fields with custom objects.
Can I import records into a custom object?
Yes. Create the custom fields and a Page Layout first, then the import works the same way as for a standard object. See How to import with custom objects.
Can I report on custom objects?
Yes. Custom object report templates are in the Other Reports folder, and you can pull in fields from linked standard objects. See Best Practices for Custom Objects, Reporting, and Reporting: advanced how-tos for reports across a lookup relationship.
Can a custom object trigger workflow automation?
Yes. Custom objects trigger Workflow Automation the same way standard objects do. See Automation & Workflow Guide.
Can I clone a custom object record?
Yes. Open the record, click Actions, and select Clone This [Object]. Linked items on the Related tab are cloned with it. See How to Clone Standard and Custom Object Records.
Are custom objects and custom apps available on the mobile app?
Yes, you can view and work with records in them on iOS and Android. Creating, editing, and deleting the objects and apps themselves is web-only.
Deleting
What happens when I delete a custom object?
Every record in it is deleted and the deletion cannot be undone. Export the records first if you might need them. Standard objects cannot be deleted at all.
Custom apps
What is the difference between a custom object and a custom app?
A custom object is a new record type. A custom app is a grouping of objects, standard or custom, shown to a team so they see only the parts of the CRM they work with. See Custom Apps Guide.
Can I add a custom object to an existing custom app?
Yes. Edit the app from System Settings and change its object list. See Custom Apps Guide, Editing.
