What is Insightly Marketing?
Insightly Marketing attracts and nurtures prospective customers: build landing pages and forms to capture them, score and grade them by behavior, then move them through automated Journeys until they’re ready for sales.

How it works
Marketing automates the repetitive parts of nurturing prospective customers, using their behavior to decide what to send them next. It connects directly to Insightly CRM, so a Prospect who becomes sales-ready can convert to a Lead or Contact without leaving the platform.
Quick start: the five steps
- Create a landing page to give people somewhere to arrive.
- Generate leads with a form on that page, capturing visitors as Prospects.
- Create marketing emails to communicate with them.
- Market your content using hosted files and redirect links, so downloads and clicks are tracked.
- Nurture new leads with prospect scoring and Journeys.
Administrator setup
Admins handle account setup before anyone starts building content. Four steps:
1. Account setup
Only Marketing account administrators can add users, and there are two paths: add a brand new user, or enable an existing Insightly CRM user.
To add a new user, click the user icon in the upper right, select System Settings, then User List under Users, then Add New User. How you add them determines how they sign in: selecting a Google Apps user means they sign in with Google Workspace, while inviting a new user by first name, last name, and email means they sign in with email and password. Each user gets a profile, which defines what type of user they are, and a product user license.
2. Set up web tracking domains

Use cases
Practical patterns, drawn from how Insightly’s own marketing team uses the product:
- Newsletters – add a form so people can join your mailing list, use Form Finish Actions to add them to a static list, then build static lists that segment by engagement: those who never open, those who open, and those who click.
- Nurture blog subscribers into sales leads – someone subscribing to a blog isn’t ready for sales yet; use their behavior to learn what brought them in before handing them over.
- Nurture leads to the finish line, send a post-sales thank you, and engage your evangelists – three stages of the same lifecycle, each a separate Journey.
- Internal notification system for sales – use Marketing to alert your own sales team rather than to reach customers.
