Administrators and users
How do I make another user an administrator?
Go to System Settings > Users and edit the user. An administrator can change any setting, see and edit any record, change billing, and delete the account, so grant it deliberately. See Granting administrator permissions.
How many admins should be on an account?
At least two trusted users, so account management doesn’t depend on one person. Making everyone an administrator is not advisable.
How do I manage what my users can see, edit, and delete?

How do I stop a user exporting data?
Turn off Export Permissions on their user record. See Granting or removing export permissions.
What happens to a user’s records when I delete them?
You are prompted to reassign everything they own or are responsible for to other active users, so no data is lost. To disable someone temporarily instead, remove their license rather than deleting them. See Deleting a user and Licenses.
Plans
Can our users be on different plan levels?
No. All users in your Insightly account must be on the same plan.
How do I upgrade or downgrade?
As an administrator, go to Billing & Account > Billing Details > Adjust Plan. Before downgrading, check the plan limits: an account over the lower plan’s limits shows the plan as Ineligible until the excess is removed. See Plans and changing them.
What are the plan limits?
Records, storage, imports, emails per day, API calls, and feature limits by plan are in one table. See Plan limits.
Can I freeze my paid account temporarily?
No. Accounts cannot be put on hold or frozen. To stop billing without losing data, contact Insightly billing rather than using Cancel Account. See Canceling.
Billing
Why was I charged for more users than I have?
Billing is per user license, and the number of licenses is set on your subscription, not by how many people have signed in. Reduce the license count under Billing Details > Adjust Plan. See Plans and changing them.
What happens if my card fails?
The account owner is emailed a link to update it, and billing is retried after 3, 5, and 7 days. If all four attempts fail the subscription is canceled and data is kept for two weeks before deletion. See Billing mechanics.
Where are my invoices sent?
To the Billing Contact, which is the Account Owner by default and can be changed under Invoices and Payments. See Account ownership.
Does canceling delete my data?
Yes. Self-serve Cancel Account permanently deletes the account and all its data. See Canceling.
What is the trial period for the free plan?
When a subscription expires, a 14-day grace period applies, during which the account is limited to basic features and only a single administrator remains active. All other users are deactivated. Subscribing to a paid plan during the grace period restores full access. If the 14-day grace period passes without a subscription, the account is fully locked and the account removal process begins, at which point the account becomes unrecoverable.
Data and support
Does Insightly back up my data?
Insightly backs up its own databases daily for disaster recovery, but does not offer per-customer backup or restore. Export your own backups. See Backing up your data.
